4. Focus on Behavior, Not Personality

Address specific behaviors rather than personal attributes to prevent defensiveness. For instance, instead of saying, “You’re careless,” focus on the behavior: “There were errors in the report that need correction.” This approach targets the issue without attacking the individual’s character.

5. Provide Actionable Suggestions

Offering clear, actionable steps helps employees understand how to improve. For example, suggesting, “To enhance your time management, consider prioritizing tasks using a to-do list,” provides a concrete strategy for improvement.

Reflect on your recent feedback interactions. Have you:

  • Provided specific examples rather than general comments?
  • Encouraged a two-way dialogue?
  • Offered actionable suggestions for improvement?
